Tour conditions

What's Included:

We are proud to create exceptional experiences for the tour price: hiring the best local guides, including admissions to events and sights seen as a group; meals, accommodations, and various transportation as is necessary for our predetermined activities during the retreat. Finally, there are the intangible resources of G&T and MWL: expertise, planning, guidance, inside information, movement, and amazing curated adventures.

Itineraries are subject to change:

Europe is full of surprises, and we need to be flexible enough to take advantage of whatever comes along (good or bad!) so that we may provide you with the best possible tour. Uncompleted portions of the tour itinerary are not cause for refund.

Accommodations:

1. Single Occupancy: We cater to independent women who are done with sharing bedrooms. Therefore, our tours are priced for single occupancy rooms and G&T doesn’t punish people with single supplement prices. If you are traveling with a friend (and that is wonderful!) please contact us and we can provide pricing for a double occupancy room.

2. Reduced mobility: please advise us if you require an elevator or other accessible considerations and we will do our best to meet your needs.

Luggage:

The trunk of our rental car has limited space. After much trial and a few errors, we've learned to limit the size of our bags or they won't all fit. Please limit your luggage to a carry-on (the size of which would be able to fit into an airplane's overhead bin) and one other suitcase. Anything more and the car's trunk just won't close!

Forms, obligations, and risks:

To attend this retreat, all registrants are required to review and accept a General Release and Waiver Agreement, which outlines important legal terms related to risks and claims, prior to the beginning of a tour. Omitting important information, or altering any of these agreements, will render them invalid, and could result in expulsion from a tour at your own expense.

Participation:

While we do our very best to help everyone on our tours have a great trip, it sometimes happens that someone participating in a tour can misbehave or do things that are incompatible with the safety, comfort, or convenience of other members of the tour. In those circumstances we have the exclusive right and discretion to expel someone (even you) from a retreat at any time.

Notices about France:

Health and Vaccinations - stay up-to-date on current travel health information via the CDC page on France. Political Climate - stay up-to-date on current events in France via the US Department of State.Your credit card down payment will be charged for your registration fee at the time of your registration. As such, your registration fee is non-refundable, except as further stated below. No refunds or exchanges are made within thirty days prior to your retreat date. With at least thirty (30) days’ notice to us, you may arrange for someone else to assume your registration and attend in your place. No refunds or exchanges are made within thirty days prior to your retreat date. To provide notice of cancellation, please contact Louise and Libby directly.

Price:

The price for the trip you've selected is listed on its specific webpage. It’s the cost of running a tour based on a set Euro-to-US Dollar exchange rate. While this hasn’t happened yet, it is possible that the exchange rate of the dollar could drop significantly between your registration date and the travel dates. If the exchange rate fluctuates more than 15% from the published rate at the time of booking, G&T reserves the right to adjust the tour price accordingly. (Note: Our tour prices do not include airfare which may change without notice.)

Cancellations and refunds:

The deposit itself is non-refundable. Final Payment due date is approximately 4 months before the departure date; please view specific retreat page for exact date and will be listed on your tour invoice. If you decide to cancel for any reason, the refund policy is as follows:

• if you cancel 100 – 120 days before departure, you will receive 75% refund of your payments (minus the non-refundable deposit)

• if you cancel 80 – 99 days before departure, you will receive 50% refund (minus the non-refundable deposit)

• if you cancel 60 – 79 days before departure, you will receive 25% refund of your payments (minus the non-refundable deposit)

• if you cancel with less than 60 days before departure date, the entire tour cost has become non-refundable

Cancellations must be sent to G&T and MWL in writing to libby@gallivantandtraipse.com and louise@movementwithlove.com. We reserve the right to cancel a tour prior to departure for any reason whatsoever. This includes things like acts of God, strikes, war, cancellations due to force majeure, and insufficient participant number, but is not inclusive of these examples. G&T has no obligations to registrants on cancelled trips including any additional costs or fees related to the issuance and/or cancellation of airline tickets or other travel reservations not made by G&T. Due to the nature of the travel industry, G&T often makes significant payments to suppliers well in advance of travel. If a trip is cancelled for a reason that would prevent the departure of a trip, G&T would do its best to recuperate as much as possible and remit any funds which hadn’t yet been paid out to its suppliers. However, G&T does not guarantee recovery of any or all the advance payments made. Upon completion, G&T shall be released from any further liability. This should serve as a reminder to research and obtain travel insurance that covers trip cancellations, medical emergencies, lost luggage, and personal liability..

Returned payments:

If a payment to MWL and G&T is returned unpaid for any reason (in other words, if your check "bounces"), we will assess a $50 returned-item fee per occurrence. The fee(s) will be added to the applicable tour balance and must be paid in full prior to your tour departure. In addition, future payments must be made via a guaranteed payment method like certified check or money order.

Retreat payments:

To reserve a spot on a G&T/MWL trip you must agree to these Conditions and provide us with a deposit of $1500 per person. We accept Zelle/checks for all tour payments as well as credit cards. For those who opt to utilize their credit card they will incur an additional 3% fee. Your final tour payment is due to us at least 120 days prior to the start of the tour. Your final payment due date is listed on the specific retreat page and will be listed on your retreat invoice. Missing the final payment deadline may result in your being removed from the tour and losing your deposit. If you sign up for a tour less than 60 days before its departure, the entire tour price must be paid, and is non-refundable.
